Presenter Guide

ACH 2024 will be held in two platforms: Zoom and Work Adventure. Papers, Lightning Talks, Roundtables, Panels, and Alternate Formats will take place in Zoom. Installations and Posters will be hosted in Work Adventure (see the details below). Session links will be posted in the Conference Agenda in ConfTool prior to the start of the conference.

Zoom presenters are encouraged to show up 15 minutes before their session start time to test screen sharing. Work Adventure presenters are encouraged to show up 30 minutes early to find their presentation space and test screen sharing capabilities. Work Adventure will be open/running throughout the entire conference, so you can pop in ahead of time to get a feel for the space and meet up with other conference attendees.

Regardless of the medium, presenters are encouraged to be as inclusive as possible. Please review our accessibility guidelines when preparing your presentation.

These sessions feature individual presentations and time for discussion at the end:

  • Papers sessions feature 3 papers (12-15 minutes each)
  • Lightning talk sessions feature up to 8 lightning talks (5 minutes each)

Presenters will be given screen sharing capabilities.

Each session will have two volunteers on hand:

  • A Moderator will introduce speakers, keep time, and facilitate the Q&A.
  • A Tech chair will start the Zoom 15-minutes before the session begins (during the break), admit attendees from the waiting room, remove attendees who violate the Code of Conduct, and move the session to a backup Zoom (provided by us) in case of Zoombombing.

Roundtables and Panels will have their own dedicated Zoom space for their session. Presenters will be given screen sharing capabilities. The roundtable/panel organizer will serve as session moderator. Each session will have a volunteer tech chair who will start the Zoom 15-minutes before the session begins (during the break), admit attendees from the waiting room, remove attendees who violate the Code of Conduct, and move the session to a backup Zoom (provided by us) in case of Zoombombing.

Alternate format sessions #10C and #14A will each be held in a single Zoom meeting space, utilizing breakout rooms for each presentation. The volunteer tech chair will create the breakout rooms and help move participants into each room. Presenters will be given screen sharing capabilities. Please expect participants to move between breakout rooms throughout the sessions.

Installations will take place in Work Adventure (see the full Work Adventure description below). Each installation will have a dedicated stage near the grassy center of the virtual map. Each stage will be labeled with the corresponding installation’s title. Installations are interactive sessions where people will walk up to your stage. Once they’re in range, they will be able to talk with you using audio/video and chat features, and see whatever content you are sharing from your screen. We recommend the Chrome Browser for optimal functionality. See below for more details about presenting in Work Adventure.

Posters will be presented in Work Adventure via individual screen sharing (similar to Zoom functionality). Each poster will have a dedicated space/room for presenting along the perimeter of the virtual world. Work Adventure works best in the Chrome browser, and your poster can be any format that displays in that browser. You can create your poster as slides, a video, a static PDF, or some other format that displays in the browser. You will not be required to upload or submit your poster in advance.

The virtual poster session will be interactive, similar to an in-person session. As people walk up to your dedicated space, they’ll be able to talk to you with audio/video and use the chat feature. As such, you’ll need to be present for the entire session in order to share your poster, since it’s running off of your screen share rather than being pre-loaded for passive display.

  • Installation/poster presentation videos (if being utilized) should run no longer than 5-10 minutes, and there is no minimum length.
  • For poster presentations, you may choose to share an image, a video/audio clip, slides, a static PDF, or some combination. There are no format requirements other than ensuring that your poster is accessible from the Google Chrome browser (see tutorial below).
  • Presentation videos/audio/slides will be shared via screen sharing in your designated room/stage.
  • Sound sharing can only happen in your “jitsi” room, using the same browser you’re using for Work Adventure.
  • While you do not need to upload or share your presentation with the conference committee in advance, it will need to “live” in your active browser:
    • You should pre-load your presentation (whatever media format) in another tab in the same browser window you’re using for Work Adventure.
    • If you’re sharing a video, upload to a hosting site such as YouTube.
    • If you’re sharing audio, upload to a hosting site that is accessible in the browser, such as Soundcloud or Google Drive.
    • Similarly, PDFs or other poster images will need to be online (e.g. in Google Drive, Box, Dropbox, OneDrive, etc.) so that they can be shared in the browser.
    • See this quick tutorial about presenting in Work Adventure, created for the ACH2023 virtual conference (this year’s map will look similar).
  • Work Adventure will be open/available throughout the entire conference. You can pop in at any time to find your presentation room/stage and test everything. A volunteer guide may not be available when you join the space.
  • We recommend that presenters enter the virtual world for setup and troubleshooting 30 minutes before your session begins:
    • Session #2B Installations: Wed, Nov 6 from 10:30-11:45am CT – arrive at 10am to begin setup
    • Session #9A Poster Session: Thurs, Nov 7 from 10:30-11:45 CT – arrive at 10am to begin setup
    • Session #15A: Poster Session: Fri, Nov 8 from 9:00am-10:15am CT – arrive at 8:30am to begin setup
  • Volunteer Guides will be on hand to help with setup and audience participation. Guides will be hanging out in the grassy quad at the center of the map near the ACH Pond (look for the ACH logo). Their avatar names will indicate that they are guides.

Our Work Adventure virtual world features dedicated spaces for formal presentations (stages for installations, rooms along the perimeter for each poster), as well as spots to gather with others, chat, or sit in silence.

  • For participation in the virtual world, you only need to use your internet browser—no dependencies or additional installations needed!
• While Work Adventure will work in every browser, we recommend Chrome for all presenters as accessibility and screen sharing options are limited in other browsers. If you experience any bugs, ensure that your browser is up-to-date.
    • You may be prompted by your browser to turn “on” your video and audio. Be sure to click “Allow” when prompted.
    • Some Google Chrome users may have to disable the Evernote Web Clipper extension (Google Chrome > Windows > Extensions). Having this extension enabled may cause users to get stuck on the welcome screen, with the platform not responding to any actions (see Work Adventure troubleshooting)
    • Captions can be enabled in Chrome. For Chrome, go to Settings > Accessibility, and then turn on “Live Caption.”
    • If there is a question from an attendee about captions, ensure they are using Chrome.

This year’s virtual world will be similar to the one from ACH2023. Check out this brief video about navigating the ACH2023 Work Adventure virtual world to get a sense of what to expect.
